    Administrative Assistant to the Director of Technology-100%

    The Okemos Public Schools is accepting applications for an outstanding Administrative Assistant to our Technology Director.  The ideal candidate performs varied and responsible work to support the Director of Media and Technology, the department staff, and the services they provide. Responsible for administrative services, records management, budgeting, purchasing, bookkeeping, helpdesk, management filings, web page maintenance, reports, word processing, filing, answering telephones, answering the depot’s door, operating office machines, and other responsibilities as assigned. Performs special projects as assigned by supervisor, including device collection and hand-outs. Considerable judgment is exercised in communicating and working with administrators, staff, and vendors to obtain necessary information and initiate appropriate actions. The volume and nature of work during the summer cycle will fluctuate depending on projects and district initiatives, school startup support, state and federal report filings, planning and budgeting, and product and equipment purchasing for the following year’s projects. The employee must exercise discretion in working with individuals outside the department. Work is subject to pressured situations and inflexible deadlines.

    EDUCATION and/or EXPERIENCE:

    • High school diploma or equivalent; previous office experience required; experience in an educational technology environment preferred.

    ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned.

    • Assist the Director of Media and Technology in the operation of the district and building-level educational technology network.
    • Provide support to users; maintain HELP line; answer basic software/hardware questions: process remaining requests or needs.
    • Assist in technical troubleshooting over the Help Line.
    • Compose and respond to correspondence, compose newsletters, reports, and other documentation.
    • Maintain necessary records (Examples: acquisitions, circulation, etc. . .).
    • Maintain budget and all accounting procedures.
    • Enter and process purchase orders.
    • Maintain general files and records appropriate to the office.
    • Maintain calendar(s) of Media and Technology needs.
    • Sort and route incoming mail and phone calls
    • Assist in training staff regarding the use of technology as needed.
    • Supervises student assistants.

    QUALIFICATIONS:

    • Performs basic grounds maintenance work and related physical labor as necessary outside of the buildings.
    • Operates safely and efficiently, power-driven equipment.
    • Uses basic methods, supplies and tools used in cultivating and caring for landscaped areas.
    • Performs custodial-type duties during inclement weather or as needed.
    • Maintains fencing, grading, irrigation, fertilization, aeration and care of sports turf and parking lot areas.
    • Performs lawn care, snow removal, salting and tree cutting.
    • Practices safe working methods and procedures by using Personal Protective Equipment, Right to Know and any other programs as assigned.
    • Follows safety and code guidelines established by the State of Michigan, Meridian Township and the Board of Education.
    • Must work well with students, staff, administration, and the public.
    • Must be able to lift 50 lbs. repeatedly on a consistent basis, 75+ lbs. on a somewhat regular basis.
    • A neat appearance is required.

    Serve as confidential secretary to the Director of Food Service and enhance the effective and efficient operation of the office and department.

    Essential Job Duties:

    • Coordinate operations and communications for the various Schools and Academy’s that which Okemos currently provides Shared Services to.
    • Act as liaison between department and community, administration, staff, parents & students.
    • Work with the Point of Sale provider and Tech department to correct problems. Help kitchen staff set up shortcuts and various technical computer issues.
    • Purchase supplies and process invoices for contracted services.
    • Prepare and collect on Invoices for Catering events. Help set up and cleanup for catering events when needed.
    • Receive and process payments from parents, by check, cash, and online web deposits.
    • Compile monthly data for financial end-of-month comparison.
    • Track cashier deposits from the various schools and reconciles errors with bank.
    • Process the Free/Reduced Meal Assistance applications. Process the state’s Direct Certification reports for students on SNAP.   Run the yearly Verification report with the State of Michigan.  Prepare reports for the Special Education EduStaff.
    • Prepare and process Change of Status forms, staff time for payroll, and weekly absence reports.

    • Report needed vehicle repair or maintenance to the Fleet Mechanic immediately.
    • Perform emergency evacuation drills.
    • Maintain a clean and safe environment within the bus.

    PHYSICAL REQUIREMENTS:

    • Must be physically, mentally, and emotionally qualified to operate a school bus and evacuate children from a school bus in the event of an emergency.

    • Takes temperature of food and logs it
    • Washes pots, pans, trays, utensils, and other kitchen equipment and cleans the kitchen areas as directed
    • Keep work area clean, sanitized, and organized.

    • Pulls food product and preps it for the next serving day
    • Participates in in-service training as required
    • Maintains confidentiality regarding student accounts

    QUALIFICATIONS:

    • Proven experience as a cook
    • Knowledge of various cooking procedures and methods (grilling, baking, boiling, etc.)
    • Ability to operate a point-of-sale system/cash register and complete transactions accurately
    • Valid ServSafe certificate within 60 days of job award.
    • Ability to read, write, and follow verbal and written instructions.
    • Ability to follow all sanitation procedures.
